2. What data is processed and why?

Enquiries and viewings: your name, email address, optional telephone number, message, selected room or property, language preference and preferred viewing date. We use this information to answer your enquiry, arrange a viewing and follow up on communications. Required fields are indicated on the form; we cannot process your request without this information.

Tenancies and the student portal: where necessary for your tenancy, we process identification and contact details, addresses, contracts, rental periods, invoices, payments and bank details. The portal uses your email address and a temporary login link to give you access to your own documents.

Technical data: the website and hosting services may process IP addresses, browser type, timestamps, requested pages and error messages to operate and secure the website and detect misuse. Sessions keep track of information such as your login and form status.

Website analytics: when Google Analytics is used, data about visits and interactions is processed, including page views, referring websites, device and browser information and cookie identifiers. Please read the cookie policy for more information.

3. What are the legal bases?

Answering a specific rental enquiry, arranging a viewing and performing a tenancy agreement rely on steps prior to entering into a contract or performance of a contract. Statutory administration and retention obligations rely on a legal obligation. Securing the website and following up on general enquiries rely on our legitimate interest in providing a reliable service, while respecting your rights. Non-essential analytics cookies require your prior consent.

4. Who receives your data?

Data may be processed by landlords and authorised staff handling your enquiry or tenancy, and by hosting, email, technical maintenance and administration providers where required for their services. Data may also be disclosed to competent authorities where required by law.

5. How long is data retained?

Retention depends on the purpose. For enquiries, we take account of handling the request, necessary follow-up and any disputes. For tenancy agreements, invoices and payments, we take account of the tenancy, applicable statutory retention obligations and limitation periods. Technical data retention depends on security needs and hosting service settings. You may ask us which specific period applies to your data.

Analytics data retention is configured separately in Google Analytics. A cookie's lifetime is different from the retention period of the data collected using it.

6. What rights do you have?

You may request access to your personal data and correction of inaccurate information. Subject to the conditions of the GDPR, you may also request erasure, restriction of processing or data portability. You may object to processing based on legitimate interests. Where processing relies on consent, you may withdraw it at any time; this does not affect the lawfulness of earlier processing.
